Rental Terms and Conditions

Renter Requirments

To rent a vehicle from PODOTAS TRAVEL IKE, the following conditions apply:
  1. Driver's Age
    • The renter and any additional drivers must be aged 25 to 75 years.
    • Rentals are not available for drivers outside this age range.
  2. Valid Driving Licence
    • The renter and all additional drivers must hold a valid driving licence in physical form (copies or photographs are not accepted).
    • The licence must have been issued at least 1 year before the rental date.
    • Drivers without an EU licence may need an International Driving Permit (IDP).
  3. Identification
    • At the time of vehicle pick-up, the renter must provide:
      • A valid ID card or passport.
      • A valid driving licence as specified above.
      • A credit or debit card.

Payment Methods and Deposits

  1. Booking Deposit
    • A deposit of 25% of the total rental cost is required to confirm the booking.
    • The deposit can be paid via:
      • Credit or Debit Card.
      • Bank Transfer: Must be completed within 24 hours of booking. The bank details are:

      • Please include your booking number or full name as a reference.
  2. Balance Payment
    • The remaining amount is payable upon vehicle pick-up using:
      • Credit or Debit Card.
      • Cash (subject to applicable laws).
  3. Additional Charges
    • Extra charges may apply upon return of the vehicle in cases of:
      • Damage to the vehicle, calculated based on the type and severity.
      • Traffic fines incurred during the rental period, for which the renter is fully responsible. Unpaid fines will be added to the final bill.

Insurance Options

  1. Basic Insurance
    • Included in the rental price.
    • Covers third-party liability (damage to others' property or injury to third parties).
    • Excludes:
      • Damage to the rental vehicle.
      • Damage to tyres, rims, windscreen, and mirrors.
      • Loss or damage to the renter's personal belongings.
  2. In case of vehicle damage, the renter is responsible for the full cost of repairs.
  3. Collision Damage Waiver (CDW)
    • Optional coverage available for an additional fee.
    • Covers damage to the rental vehicle (excluding tyres, rims, windscreen, and mirrors).
    • Limits liability to a maximum of €600 (excess) in case of damage.
    • The renter is only responsible for up to €600, regardless of the repair costs.

Pick-Up and Drop-Off Procedures

  1. Vehicle Pick-Up
    • Location: At the agreed location specified during booking (e.g., company office or designated parking area near the port).
    • Time: The renter must arrive at the agreed time or notify the company in case of delays.
    • Required Documents:
      • Valid driving licence.
      • ID card or passport.
      • Proof of deposit payment.
      • Credit or debit card in the renter's name for the security deposit.
    • Vehicle Inspection: A joint inspection of the vehicle's condition (e.g., damage, fuel level) will be conducted with a company representative, and a report will be signed by both parties.
  2. Vehicle Return
    • Location: At the agreed location and time specified during booking.
    • Condition: The vehicle must be returned:
      • In the same condition as when picked up.
      • With the same fuel level, as noted during pick-up.
    • Inspection: A final inspection will be conducted to check for damage or missing items. Additional charges may apply for damages or missing equipment.
    • Late Returns: Delays beyond the agreed time may incur additional fees based on the hourly or daily rate.
  3. Fuel Policy
    • The vehicle is provided with a specified fuel level, noted in the inspection report.
    • The renter must return the vehicle with the same fuel level. A charge applies for any shortfall, including a handling fee.

Cancellation and Refund Policy

  1. Cancellations
    • 100% Refund: For cancellations made within 12 hours of booking, provided the rental start date is at least 48 hours away.
    • 100% Refund: For cancellations made up to 26 days before the rental start date.
    • Non-Refundable Deposit: For cancellations made less than 26 days before the rental start date.
    • Non-Refundable Deposit: For bookings that have already been modified.
  2. Modifications
    • Changes to rental dates are allowed once and must be requested at least 7 days before the rental start date, subject to availability.
    • Changes to the vehicle type can be made up to the rental start date, based on availability. Additional charges or price reductions may apply depending on the request.
  3. Late or invalid modification requests may be declined.
  4. Early Return
    • If the renter decides to shorten the rental period, they must notify the company at least 26 days before the start date.
    • No refunds are provided for unused rental days if the vehicle is returned earlier than agreed.
  5. Refunds
    • Refunds are processed via the original payment method within 10 business days of the cancellation.
    • Bank processing fees are non-refundable.
  6. Force Majeure
    • In cases of force majeure (e.g., natural disasters), the company may offer full refunds or free booking modifications at its discretion.
